Chilton Hall Space Reservations
Space requests will be confirmed or declined within 24 hours during the normal business week. Cancellations and new meeting times should be submitted using the Outlook calendar menu options.
During the normal business week, the Chilton Hall building representative will open the storage area for access to tables and chairs. Event organizers are responsible for moving furniture, event set-up and event take-down and clean-up. Tables and chairs must be returned to storage before the next business day.
Follow these steps to 1) Share the Chilton Hall Events calendar and 2) Make your open space / hallway reservation.
1. With your Outlook calendar open,
Select Open a Shared Calendar.
Click the Name button.
Type “Chilton Hall Events” in the search box of the address book.
When “Chilton Hall Events” is highlighted in the list, click OK.
The Open a Shared Calendar box should now contain “Chilton Hall Events.
Click OK.
2. With the Chilton Hall Events calendar open,
Go to the date and time you wish to reserve and check availability.
Right click on the start time.
Select New Meeting Request With.
Select Chilton Hall Events.
Complete the appointment form, including:
To: < Chilton Hall Events>
Subject: < Department and Event Title >
Location: <Indicate Floor and Area, i.e., 2nd floor Entry, 2nd floor North, 2nd floor South, 3rd floor outside 387, etc.>
Select Start time: and End time:
Provide additional information in the message section, including number of tables, chairs, event contact name and phone number. Press Send.
Your event reservation is tentative until you receive an e-mail confirmation from Chilton Hall Events. If you do not receive a confirmation within 24 hours, or need assistance with the calendar instructions, please contact the Chilton Hall building rep at 940.565.3419.
Faculty, staff and students who do not have Outlook access to the Chilton Hall Events calendar may contact the Chilton Hall building rep for assistance at 940.565.3419
