Reservations Policy

Effective May 9, 2008, please use the new Outlook conference room and equipment calendars to check availability and submit a reservation request.

PACS faculty and staff have shared rights to view the calendars and request a meeting / reserve equipment.

Meeting requests will be accepted or declined in accordance with the PACS Space Policy, effective September 1, 2007. Requests must be approved in advance and will be confirmed within 24 hours during the normal business week.

Cancellations should be submitted and new meeting times should be proposed using the Outlook calendar menu options. Confirmation of your change will be sent to you via e-mail.

Follow these steps to share the PACS conference room and equipment calendars and to submit meeting requests.

1. In your Outlook Navigation Pane located on the left-hand side of the Outlook window, click on Calendar and then open a shared calendar that you have access to. These usually have their names as the location of the rooms that you are interested in (for example: Chilton 126)

2. Go to the date and time you wish to reserve; check the room's availability.

3. Go to the date and right click on the start time, and select New Meeting Request With .

4. Complete the request form, including:

To: < Room. This field will populate automatically when you select the Location field below>

Subject: < Department and Course Number and/or Meeting Title >

Location: < Select Location from the Rooms pull-down menu>

Select Start time: and End time:

Provide additional information in message section.

5. Press Send.

Your meeting or equipment reservation is tentative until you receive an e-mail confirmation. If you do not receive a confirmation, or need assistance with proxy instructions, please contact PACS Tech Support at 940.565.3419.

Upon receipt of your reservation confirmation, laptops and projectors may be checked out from the PACS Tech Support Office between 8:00 a.m. and 5:00 p.m. Monday - Friday. PACS faculty/staff must present their UNT photo id and must know their UNT employee id number. A Property Custody Receipt form must be signed at check-out. This form will be retained by PACS Tech Support until the equipment is returned.
